By integrating Koncile’s OCR, Nona has automated a crucial part of its operations, gaining both time and data accuracy. This article explores the concrete benefits of that transformation.
A concrete example of how document automation can drive operational performance. Nona automated its supplier invoice processing by integrating Koncile’s OCR into its vendor management workflow.
Founded in 2020, Nona develops an all-in-one business software solution for professionals in collective catering including schools, healthcare facilities, and public institutions.
Today, over 650 organizations use Nona to manage their operations, representing more than 100,000 meals served daily through the platform.
Its mission: to simplify the day-to-day management of kitchens (menus, orders, inventory, hygiene, traceability) while supporting the food transition toward more sustainable practices.
Before onboarding a new client, Nona’s teams collect about a year’s worth of invoices from the client’s kitchen. This step is essential for importing all the products used and making the software immediately operational.Previously, this work was done manually. Whether the invoices were in PDF format or handwritten, the data had to be manually entered into the system a long, tedious process prone to human error.
To automate this setup phase, Nona conducted a benchmark of various OCR solutions available on the market.
As part of its benchmark, Nona tested several solutions.
What convinced the team to choose Koncile was its ability to:
"What makes Koncile stand out is the built-in artificial intelligence that can adapt to different types of invoices."
Another key factor was the ability to test the solution before making a commitment. By importing a batch of invoices from an actual kitchen, the team was able to quickly assess the quality of the results.
"We were able to upload all of a kitchen’s invoices at once and immediately saw strong results. Koncile’s adaptability was a real advantage."
Once the solution was validated, the Nona team gradually integrated Koncile into its document workflows. Their approach was pragmatic: start small, test on a few kitchens, fine-tune the extraction settings, and then scale up.
Today, each time a new client is onboarded, the invoices are uploaded to the Koncile platform along with tailored extraction instructions. The OCR processes the documents automatically and generates a structured Excel file containing all relevant data: products, quantities, and other key information.
"The software processes the invoices automatically and gives us an Excel file with easily usable data."
This allows the Nona team to focus on other tasks. It saves time, streamlines deployment, and helps make the software operational more quickly for kitchen staff.
Thanks to Koncile, Nona was able to:
“We set up accounts much faster than before. The cooks can get up to speed with their software more quickly.”
